About the Role

Wiltex LTD is seeking a reliable and organized Administrative Officer to support our daily operations and serve as a key point of contact for customers in our Takoradi Office. This role is ideal for someone who communicates professionally, manages tasks efficiently, and enjoys supporting both customers and internal teams. The Administrative Officer will handle customer inquiries, prepare invoices and quotations, manage calls, and perform general administrative duties that keep the company running smoothly.

Key Responsibilities:

Customer Communication

  • Respond to customer emails and inquiries in a timely and professional manner.

  • Return customer calls and provide accurate information or assistance.

  • Escalate customer concerns to management when needed.

  • Maintain a courteous and customer-focused tone at all times.

Invoicing & Quotation Support

  • Prepare and send customer quotations based on approved pricing.

  • Create and issue invoices through Zoho Books in line with company policy.

  • Coordinate with the Accountant and Administrator to ensure accuracy and timely delivery.

  • Track outstanding invoices and follow up when required.

Administrative Duties

  • Manage day-to-day office tasks such as filing, scheduling, and document organization.

  • Maintain accurate digital and physical records.

  • Assist with updating customer information and internal databases.

  • Support management and operations with administrative tasks and follow-ups.

Operational Coordination

  • Work closely with the operations team to ensure smooth handling of customer orders.

  • Relay customer requests or concerns to the appropriate departments.

  • Assist with internal communication and workflow coordination.

Qualifications

  • Strong written and verbal communication skills.

  • Experience in administrative or customer service roles preferred.

  • Ability to multitask and manage time effectively.

  • Proficiency with email, office software, and basic administrative tools.

  • Experience with invoicing or accounting software (Zoho Books is an advantage).

  • Organized, professional, and reliable.
